YouthCenter Late June 2025 Release Notes

Our late June update is focusing on giving you better, clearer, and more accessible data in regards to Custody Classifications, Court Dates in the Widgets, medication statuses for release, location options for Personal Possessions, and SafeGuard Facility Round Logs.  There is also a new additions for report subscription times and Safeguard updates for quickly identifying a youth’s location.

Custody Classification

Custody classifications in juvenile justice including State Ward, Dual Ward, and ICWA (Indian Child Welfare Act) to name a few is important for tailoring interventions, ensuring legal compliance, and improving outcomes for youth. The YouthCenter team has updated the demographics to support the selection of these classifications. This enhancement ensures that legal and custodial designations are accurately documented and reportable in the future.

Adding a Custody Classification

To add these specifications and options, a user with administrative access can go to the “administration” tab, followed by the “picklist admin.” 

Search for “Custody Classification” and add or edit previously listed options.

Once filled out, the custody Classification will be shown and completed under a youth’s “Demographics.”

The existing State Ward checkbox has been removed. Any clients marked as a State Ward will be added to the new custody classification field. If you currently run reports that include the old State Ward field we encourage you to update those to use Custody Classification field.

Report Subscription Timing

Earlier this month, the team updated report subscriptions, including where you can subscribe and unsubscribe yourself and/or team members. 

Using this new subscription section, you are now able to choose the exact time at which the subscribed report is run and sent via email. 

You can select multiple times per day to run the report by selecting from the list in “when to run.”

YLS & CAFAS Assessments Stage Classification

To ensure quick filtering and reporting on of when a YLS or CAFAS was given, an “Assessment Type” section has been added that includes: 

  • Initial
  • Reassessment
  • 45-Day Stepdown
  • Exit

When creating a “new response” for either YLS or CAFAS, all team members will be required to choose the response type before proceeding to the normal questions associated with this assessment. 

This field will now allow administrators and users to report on score ranges for different stages for the youth.

Widgets Updated for Court Order Event Types and/or Titles

To better understand the details of an upcoming court date, a “Next Court Date Event type” and “Next Court Date Event Title” have been added to the following dashboard widgets.

  • Clients
  • Clients In Programs
  • Clients In Other Placements
  • Clients in Facility
  • Recent Clients
  • Recent Facility Placement Events
  • Visitations
  • Pending Assessments
  • Upcoming Assessments

Adding the Next Court Date Event Type or Title to a Widget

To add this field to any of the widget types listed above, choose the “edit widget configuration” button to the right of the widget of your choice. 

Choose one or both of the new fields as shown below.

The information shared will be listed on your dashboard.

These two fields will pull from the data entered in a “new client appointment.” The appointment will have to be related to court events.

Detention Medication Audit Update

For teams using the YouthCenter detention tools who utilize the medication feature, there is now an audit checklist item that will verify which client medications are at zero or inactive.  This will ensure that a youth’s medications are not left in the facility and are returned home with them. 

Creating an Audit Checklist Item for Medications Released

Those with administrative access can add this as an audit checklist item by opening the “administration” tab, followed by “picklist admin.”  

Search for “Audit Checklist Item” and select it.  

“Create a New Audit Checklist item” by clicking the green bar on the right-hand side of the Audit Checklist list.

Ensure the “Object type Checklist” is client, add a matching title, and choose “medication released” under test.

This will create an audit reminder that all client medications must be at zero or inactive.  The “medications released” audit will showcase and influence the client percentage completion bar as shown below.

Personal Possessions Locations

For those using the Personal Possessions feature in YouthCenter, you can now hide locations that have been used and shouldn’t be used until empty again.  This will allow you to quickly see what possession locations are available for use.  

Updating or Creating a Personal Possession Location to share/unshare

To enable this feature, those with administrative access can go to the “administration” tab, followed by “picklist admin.”  

Search and choose “Personal Possession Location.”

Edit or create a new “Personal Possession Location.” 

Within the edit area the “Shared Location” check box offers two options:

  • Unselected: Once a personal possession item has been put into this location, it will disappear from the drop down options for locations. 
  • Selected:  Personal possessions can share the same location and all locations will be available even if an item is already placed there.

When a personal possession is added, and the “shared location” box is unselected, then the personal possession location will NOT show in the drop-down “location.”   This option only appears IF the location is available for storing the possession. 

SafeGuard™ Updates

Facility Rounds Reporting

For SafeGuard users, there is a new report data source titled “Facility Rounds Log” that will allow for a report to showcase completion of facility rounds and to-dos.  This will make it easy to check for completion of tasks and to see if a round/check or to-do was overdue.

The Facility: Rounds data source includes all the fields needed to report on Room Checks, Observations, Notes, Due Dates/Times, and Completion Dates/Times.

Juvenile Location in Summary

With the importance of knowing where youth are at all times, SafeGuard has been updated to ensure that the client location is now available in their profile in real-time.  

This will reduce the need to refresh the screen in YouthCenter for the most up-to-date location information.

Additional Bug Fixes

In addition to the outlined updates, this release includes various bug fixes to improve overall system stability and performance. These fixes address minor issues and enhance the user experience across different modules within the application.
